Grace Dance Terms & Conditions
These Terms & Conditions form a binding agreement between Grace Dance (“the Studio”) and the parent or legal guardian (“the Client”) enrolling a student (“the student”).
By submitting an enrolment form, the Client agrees to the following:
1. Definitions & Interpretation
• Studio refers to Grace Dance.
• Client refers to the parent or legal guardian responsible for enrolment and payment.
• Student refers to the child enrolled in classes.
• Term refers to the school term dates advised by the Studio.
2. Enrolment Agreement
Submission of an enrolment form constitutes an ongoing enrolment agreement with Grace Dance. Enrolment remains active unless withdrawn in writing in accordance with these Terms & Conditions.
All students attending classes must have a completed enrolment form on file for legal and safety purposes.
3. Enrolment Fee
An annual $40 enrolment fee per family is charged on the first invoice of the year.
This fee is non-refundable and helps cover administration, insurance, licensing, and ongoing studio costs.
4. Tuition Fees & Payment Terms
• Fees are billed per term (average 10 classes per term).
• Invoices are issued at least one month in advance and are due by Week 2 of term.
• Fees must be paid regardless of attendance.
• There is no charge for scheduled school or public holidays.
• Tuition fees are not pro-rated or reduced for absences due to family holidays taken mid-term.
5. Invoicing & Late Payments
• Invoices are issued via email.
• Late payments incur a $20 per week late fee, forfeiture of discounts, and reversion to full class fees.
• Accounts overdue by 30 days will result in suspension from classes, concerts, exams, and performances until payment is made in full.
6. Withdrawals, Cancellations & Make-Up Classes
• Fees are non-refundable once a student is enrolled.
• If a student chooses to withdraw, no refunds or credits will be issued.• Grace Dance allows up to two make-up classes per term for absences due to illness with prior notice.
• Failure to notify the Studio forfeits the make-up class option.
• Make-up classes must be taken within the same term and are subject to availability.
7. Refund Policy
Grace Dance does not offer refunds for any reason, including but not limited to:
• Missed classes due to illness, holidays, or other personal reasons
• Withdrawal from classes before or during the term
• Teacher changes
• Temporary studio closures due to weather, maintenance, or unforeseen circumstances – Enrolment constitutes acceptance of this refund policy.
8. Class Changes & Timetable Adjustments
Grace Dance reserves the right to adjust class times, teachers, or structure where required. Reasonable notice will be provided where possible. These changes do not constitute grounds for refunds.
9. Teacher Changes
Teacher allocation is at the discretion of Grace Dance. Changes in teaching staff do not entitle clients to refunds or credits.
10. Absences & Studio Closures
• There is no charge for classes that fall on public holidays or scheduled studio closures.
• Classes cancelled by the Studio may be rescheduled at the Studio’s discretion.
11. Concerts, Performances & Additional Costs
Participation in concerts and performances is compulsory for enrolled students.
Additional costs may include:
• Costume hire ($50 for the first costume, $40 for each additional costume)
• Concert tickets (priced separately and non-refundable, between $20-$35)
• Competition entry fees (where applicable)
Full term fees apply during concert terms, including rehearsals and photo days.
12. Injury, Illness & Medical Responsibility
Clients must disclose all relevant medical conditions or injuries at enrolment and notify the Studio of any changes.
Students who are unwell (including contagious illness) must not attend classes.
13. Assumption of Risk
Dance is a physical activity that carries inherent risks. By enrolling, Clients acknowledge and accept all risks associated with participation in dance classes, rehearsals, and performances.14. Liability & Indemnity
To the fullest extent permitted by law, Grace Dance is not liable for personal injury, loss, or damage to personal property incurred while participating in classes or attending Studio events.
15. Insurance
Grace Dance holds appropriate public liability insurance. This does not replace personal accident or private health insurance.
16. Child Safety & Duty of Care
Grace Dance is committed to child safety and wellbeing and complies with all relevant child safety legislation and best-practice standards.
17. Photography, Filming & Media
• Filming of classes or students is strictly prohibited without verbal consent from Grace Dance staff.
• Grace Dance may photograph or film students for promotional purposes unless consent is withdrawn in writing.
• By enrolling, you consent to your child being photographed or videoed for Grace Dance studio promotions and the end-of-year concert video.
• If you do not wish your child to be included in photos or videos, please notify us in writing.
• All personal information and images are collected and used in accordance with the Privacy Act 1988 (Cth) and relevant child protection legislation.
18. Privacy & Personal Information
Personal information is collected for enrolment, safety, and communication purposes only and will not be shared outside the Studio unless required by law.
19. Code of Conduct
Students and families are expected to behave respectfully towards staff, students, and Studio property at all times.
Bullying, theft, abusive behaviour, or breaches of Studio policies will not be tolerated and may result in suspension or termination of enrolment without refund.
20. Breach of Terms
Failure to comply with these Terms & Conditions or Studio policies may result in immediate cancellation of enrolment at the discretion of Grace Dance.
21. Force Majeure
Grace Dance is not responsible for cancellations or disruptions caused by events beyond its control, including but not limited to natural disasters or government restrictions.
22. Changes to Terms & Conditions
Grace Dance reserves the right to amend these Terms & Conditions. Updated versions will be communicated and published as required.
23. Governing Law
These Terms & Conditions are governed by the laws of Queensland, Australia.
24. Acceptance
By submitting an enrolment form, the Client confirms they have read, understood, and agree to these Terms & Conditions.
25. Acknowledgement and Agreement
I acknowledge that I have read, understood, and agree to abide by all policies,
procedures, and terms outlined in the Grace Dance Terms and Conditions / Handbook.
I understand that these policies are designed to ensure the safety, wellbeing, and
positive experience of all students.
